One manageable workflow for complex IT requests.

OneFlow is Vodafone’s platform for employees to request access and permissions, and for teams to review, manage and resolve them. At the outset, a limited older system served a similar purpose but no longer met current scope or usability needs.

From an old internal tool to a comprehensive operations product.

We reconsidered the processes end to end rather than simply refresh screens. Fewer unnecessary steps, clearer data entry and new functions bring different IT operations into one experience.

The previous basic system had fallen behind operational needs. OneFlow had to accommodate different requests, roles, approvals and management requirements together.

Firewall access, remote connections, application and Unix permissions, and role profiles follow common principles. Each form retains its specific information needs without requiring users to learn a different system.

Not a form, but an end-to-end process.

Every request follows a lifecycle from entry through review, assignment, approval, revision and completion. Organising form fields alone was not enough.

Conditional sections, access details, permission dates, third parties, attachments and explanations appear progressively in a readable structure. Draft saving, adding records, lists and filters fit naturally into the workflow.

Complex security and permissions processes become a clear experience where users know what to do at each step.

One system from requester to IT team.

Employees can track new, ongoing and completed requests from the home screen. Relevant teams see assigned work, pending approvals and operational status in dedicated management views.

Approval screens retain full context for decisions. Authorised users can approve, reject or return a request with comments and files. Communication previously spread across channels becomes one traceable workflow.

A calm, consistent interface for dense data.

Enterprise IT may be complex without feeling confusing. The modular interface connects long forms, tables, summary cards and management screens within one visual structure.

Reusable components and clear statuses support daily use and preserve consistency as new request types are added.

Outcome.

OneFlow became more than a refreshed internal tool. Scattered, time-consuming IT tasks form a traceable product from request creation and operational management to approval and resolution.

RGLABS provided infrastructure and software development. Pars Design handled information architecture, user flows and end-to-end UX/UI.
